Loudoun County Circuit Court

The Loudoun County Circuit Court Clerk is Hon. Clemens, based on the 3rd floor of the courthouse on Market Street in Leesburg. The office is part of the 20th Judicial Circuit and handles a wide range of court matters. Court terms begin on the second Monday in February, April, June, August, and December, and the third Monday in October. Financial transactions at the clerk's office are accepted Monday through Friday from 8:00 AM to 4:00 PM.

The clerk's office handles probate filings, estate administration, guardianship, and other civil matters that can come up when someone in Loudoun County passes away. The office also handles deed recordation, which can be relevant when settling an estate involving real property. Deed recordings can be done in person, by mail, or electronically. Loudoun County Health Department

Loudoun County has its own county-operated health department, separate from a regional VDH district. The Loudoun County Health Department collects public health information, advises on health matters, works to control disease, and inspects conditions that may affect public health. The department can be reached 24 hours a day, 7 days a week by phone at 703-777-0234 for emergencies, or during normal business hours for standard inquiries.

The health department's Administrative and Environmental Health Offices are located at the Government Center, 1 Harrison Street SE, 2nd Floor, Leesburg, VA 20175. They are open Monday through Friday, 8:30 AM to 5:00 PM. There are also health clinics in Ashburn at 45201 Research Place, Suite 120, and in Leesburg at 102 Heritage Way NE, Suites 100 and 101. For death certificate requests, you still go through the state Office of Vital Records. The county health department does not issue certified copies.

How to Obtain Loudoun County Death Records

Certified death certificates for people who died in Loudoun County are held by Virginia's Office of Vital Records. VDH holds death records from 1912 to the present. You can request a copy online, by mail, or in person in Richmond.

The online method is the most convenient for Loudoun County residents. The OVR online portal lets you apply, pay, and track your request digitally. You get email and text updates on your application status. Online processing takes about 5 business days. If you need a copy faster, VDH offers express delivery with next-day processing. For mail requests, send your completed application and payment to P.O. Box 1000, Richmond, VA 23218-1000. Paper applications take about 8 business days to process after VDH receives them. Get the application form at the VDH application page. Make checks or money orders payable to the State Health Department.

The Richmond walk-in office is at 8701 Park Central Drive, Suite 100, Richmond, VA 23227. It is open Monday through Friday, 7:00 AM to 4:00 PM. Same-day service requires you to arrive before 2:00 PM. Who Is Eligible for Loudoun Death Records

Virginia law restricts certified death certificates to immediate family and those with a qualifying legal interest. Immediate family includes a spouse, parent, child, sibling, or grandparent. Estate attorneys, legal representatives, and people who can show a direct legal need may also qualify. Not every request will be approved.

You must provide valid ID with every application. The VDH ID requirements page lists all acceptable forms. A government-issued photo ID is the standard. If applying for someone else, include proof of your legal authority to act on their behalf, such as a power of attorney or court order.

Death Certificate Costs

The cost for a certified death certificate in Virginia is $12.00 per copy. This fee is fixed by state law and is the same regardless of county. It covers the record search and one certified copy. If VDH cannot find the record, the $12 search fee is still charged with no refund.

Making an amendment to a death record costs $10.00. If you want a certified copy after the correction is made, the total is $22.00. Amendments take more time to process than standard requests. Plan ahead if you need a corrected copy for a time-sensitive legal matter.

Online payment is done by credit card through the OVR portal. Mail applicants send a check or money order. The Richmond walk-in office accepts cash, cards, and money orders. Payments must come with your application. Sending an application without the fee will delay processing.
